General Information, Rules, and Fees
PLEASE READ CAREFULLY AS CHANGES HAVE BEEN MADE.
Application Process:
All artisans must complete an application. Applications can be found on our website or can be sent you via email or through the US Postal Service.
Do your best to accurately type your craft and describe the process used to create your craft. This is crucial to us when assigning booths as we prefer not to place vendors with similar items near each other.
If you require electricity, please make sure you indicate so on your application. Booths with electricity have a slightly higher cost. Please refer to the fee chart. Insulated 3-prong extension cords must be provided by the vendor. Multi-power outlet systems are acceptable. Space heaters are not permitted. Anyone using a space heater will be asked to turn it in to Craft Show Officials until the end of the craft show.
If you prefer to have a perimeter booth, please indicate so on your application and we will do our best to accommodate you. Keep in mind that those who do receive a perimeter booth must provide a 10’X 10’ fire resistant tarp or tent. All booths are 10’X10’ or 10’ X 20’ (for a double) regardless of placement.
There are 5 documents that must accompany your application. If these documents are not submitted with your application we cannot consider you. These documents are required to insure the integrity of our craft show. We do not allow “buy and sell” vendors. Therefore, please submit: 1) A signed application and contract; 2) Photo(s) of representative sample of your merchandise; 3) Photo(s) of your workshop or workspace; 4) A recent raw material receipt (within the last 6 months); 5) A money order for the application Fee, booth and other fees as applicable. If you are not selected for the show this year, your booth and other applicable fee money order will be returned to you. The application fee is non-refundable. Photos must be sent loose (do not put them on card stock or in presentation folders) and without writing that discloses your name, your business name or any other information which may disclose your identity. We require this so that our judging remains anonymous and unbiased. Photos that in anyway disclose the identity of the artisan will not be included in the judging process. Application materials such as photos and receipts will not be returned. Photocopies of receipts are acceptable as long as they are clear and legible.
Applications must be RECEIVED by the Dover Officers’ Spouses’ Club no later than May 1st. Applications received after this date will be considered if there is space remaining. However, please keep in mind that we send out approximately 500 applications a year and have space for about half that many vendors. We do keep a waiting list in the event a vendor drops out. Late applications are assessed a fee. Please see the fee chart. Once you have been accepted to the show all fees become non-refundable.
Please indicate if you would like to set-up on the Friday prior to the Craft Show. There is a fee for this to defray costs of security overnight. Friday set-up is from 3 pm to 8 pm. No one will be permitted to remain after 8 pm. Those who attempt to set-up prior to their designated time will be assessed a $100 fine. Those who remain after 8 pm will be fined $100. Also keep in mind that while every effort is made to keep the show area secure we cannot make any guarantees. Anything left overnight in the show area is done so at your own risk. The fee for Friday night set-up is refundable only to those who are not accepted for this year’s craft show.
Camping is available at the Fairgrounds for $20 per night. If you would like to camp at the fairgrounds, please indicate so on your application. Those camping at the Fairgrounds will not be permitted in the show area on Friday unless they have paid the Friday set-up fee. Those who do pay for Friday set-up will be allowed in the show area from 3 – 8 pm. No extensions, no exceptions. Camping fees are refundable only to those who are not accepted to the show.
Judging Process:
Applications submitted with ALL additional documentation will be considered. A panel of judges representing the membership of the Dover Officers’ Spouses’ Club will conduct a “blind judging”. Panel members will not know who the artisan is; only what they create and how it is created. Please make sure your photos are clear as this is our only view of your work. Those accepted to the show will be notified by email or letter. Those who are not accepted for this year will receive a letter with a refund for booth and other applicable fees. Remember, application fees are non-refundable.
Judging will take place no later than the first week of May and notification of selection status will take place no later than 15th of May. No information about vendor selection will be given by phone or email. If you have not received notification by the 5th of June, please contact us. Email is the fastest way to receive a reply but you may call and leave a message if you prefer to do so. Phone calls will be returned as soon as possible.
Additional Information:
Set-up on Friday is 3 – 8 pm. Saturday set-up is from 5 am – 9 am. The Craft Show will open on Saturday at 9 am. Vendors must supply their own tables, chairs, and 3-prong extension cords (if applicable). Help will be provided with the unloading of vehicles on Saturday morning only. Please unload your vehicle quickly and then return it to the vendor parking lot. Set-up should begin after your vehicle has been parked in the Vendor lot. Vendors must set-up their own spaces and displays. All vendor spaces should be neat, clean, and hazard-free. Vendors should dress appropriately, keeping in mind the weather. Smoking is not permitted, except in marked areas and pets are not permitted on the premises. Vendors are required to keep their booth and displays set-up until 4 pm on Saturday, November 7th. No exceptions. Vendors who begin the break-down of their booth or displays will not be accepted for next year’s craft show. Remember: ALL CRAFTS OFFERED FOR SALE MUST BE HAND-MADE BY THE VENDOR SELLING THE CRAFT. NO KITS, IMPORTED OR WHOLESALE HANDCRAFTS, PLASTIC NOVELTIES, OR COMMERCIALLY MANUFACTURED ITEMS. The Dover Officers’ Spouses’ Club reserves the right to remove any merchandise that does not comply with our rules. Vendors who suspect “buy and sell” items at other booths should report the space and item to the Craft Show Chair for evaluation.

Please include a MONEY ORDER. We no longer accept checks. Incomplete submissions will not be considered at judging and application fees will not be refunded. Applications paid by for by checks or that do not include payment will not be considered.
